The Emotions Co is a private online therapy service offering 1:1 sessions for individuals. Our service is designed to support your emotional wellbeing through confidential therapeutic support.

  • Session Data: session notes, intake forms, questionnaires

  • Communication Records: emails, texts, and messages via contact forms

  • Clinical information: relevant health/emotional history shared by you

  • You fill in a contact form on our website

  • You email, message or text us

  • You book or attend a session

  • You complete an intake or feedback form

  • You communicate in-session with your therapist

  • To maintain clinical records in line with BACP standards

  • To respond to enquiries or follow up after sessions

All data is stored securely using encrypted, password-protected systems:

  • Emails: Secure email platform with 2-factor authentication

  • Session Notes: Stored in encrypted digital records, with access limited to your therapist

  • Forms and PDFs: Stored in GDPR-compliant cloud storage

  • Texts: If applicable, messages are retained securely and only if clinically relevant

  • Website Contact Forms: Collected via secure SSL encryption

We retain client records for 7 years after the end of therapy, in line with BACP and ICO guidance. After this period, data is securely destroyed.

 

6. Confidentiality and When Data Might Be Shared

Your data is kept confidential, except in the following exceptional circumstances:

  • If we believe there is a risk of serious harm to you or others

  • If there is a legal obligation (e.g. court order or safeguarding concern)

  • If required for supervision (anonymised and bound by confidentiality) 

We do not sell, share or trade your data with third parties for marketing purposes.

 

7. Your Rights

Under GDPR, you have the right to:

  • Access your data

  • Request correction of inaccurate data

  • Request deletion (where appropriate)

  • Restrict or object to processing

  • Lodge a complaint with the ICO
